Our client implements and maintains protection systems against dust or gas explosions and fire protection in the process industry.
Every day, 6 technicians are on the road in Belgium, the Netherlands and northern France to provide the best service and quality.
For support, we are looking for a freelance administrative assistant (until the permanent employee is found).
Your duties:
- You make calculations and quotations for planned maintenance and (urgent) interventions.
- You offer the necessary parts and follow up more on the delivery.
- Process customer orders and place orders with internal departments or suppliers as needed.
- After performing maintenance or interventions, you will take care of processing hourly receipts and invoicing.
- You communicate with technicians about used materials and restocking.
- For unplanned repairs, you proactively participate in the coordination of interventions or delivery of urgent parts.
- You track inventories of spare parts and place internal orders
- Scheduled tasks are discussed with the planner after which it is determined whether permits, certificates or access procedures are required for certain sites.
- Where necessary, book travel and hotels.
- You will work in a shared mailbox where you will monitor and prioritize daily communications with our customers.
- You answer customers by phone (digital reception).
- You follow up on previously made bids so that great work orders come from that too for the technicians.
Your profile:
- You have great logical reasoning/insight.
- You can settle in quickly as well as plan (example: how did the maintenance happen in the previous file? Take advantage of this).
- You work very accurately and systematically.
- Technical knowledge is not important, but interest is.
- You like to fluff out so you can make the best offer quickly.
- You are communicative and customer-oriented.
- Navision will be used. If you have knowledge, this is a big plus. If you also have knowledge of creating invoices from Navision, this is also a big plus.
This is a position preferably on 4 or 5 days per week. Working 4 days, 6h per day, is also definitely possible.
Sliding hours are worked in the office (starting between 7:30 a.m. and 9 a.m.).
This is a freelance assignment until the permanent employee is found. Start could possibly be in mid or late February.
